HCAPS Limited were managing payroll across four countries — the UK, Gambia, Uganda and UAE — entirely through spreadsheets and manual calculations. Each country carries its own tax codes, currency, and compliance requirements, and keeping everything accurate across time zones was taking their HR team days every pay cycle.
The core technical challenge was building a single system that could handle multi-currency payroll, country-specific tax logic, employee leave tracking and performance appraisals — all without requiring the client to run or maintain complex infrastructure.
We built Hirepay as a multi-tenant SaaS platform on Laravel, with each country's payroll logic isolated in its own module. Tax rates and thresholds are stored in the database rather than hardcoded, so when HMRC or the Gambia Revenue Authority updates their tables, a single admin update propagates across all tenants instantly.
Payroll runs that previously took two days now complete in under ten minutes. The leave management module feeds directly into payroll calculations, so unpaid leave and overtime adjustments happen automatically without manual overrides. Managers get a real-time dashboard showing team availability without emailing HR. The performance appraisal module uses structured review cycles with goal tracking, giving both managers and employees a transparent record that ties directly into salary review workflows.
